Artificial intelligence has many capabilities surrounding the concept of productivity. One of the main reasons we use AI is to make things more efficient – getting more things done in less time. We use AI in many of our everyday tasks, at work or at home, maybe without even realizing it. On average, about 8 in 10 Americans use five or more AI-enabled products weekly whether they are aware of it or not, including streaming services, weather forecasting apps, search engines, and more.
This statistic shows that AI is involved in our everyday lives in many of the things we do, boosting productivity and making things easier. This week in our AI 101 blog series, we will explore a few AI tools that can be utilized for personal use and productivity. These exist to enhance our own work and help streamline processes that might otherwise be tedious and time consuming.
AI chatbots
One of the biggest forms of AI in our world today is the chatbot. These AI-powered tools allow you to chat with a large language model that uses reasoning and logic to provide you with answers, calculations, and more.
You can see these on many websites; chatting with an AI agent has become quite commonplace when visiting the site of your favorite store. Did you know that there are chatbots in the form of virtual therapists as well? These can make mental health treatment more accessible and affordable. Check out one of our other blogs to learn more.
Here are a couple of chatbot tools for personal productivity use:
ChatGPT: This is probably the most popular chatbot that exists ever since its emergence in 2022 with over 400 million weekly users. ChatGPT is very easy to use, even for beginners. It is able to answer your questions with detailed responses, help brainstorm ideas when you are having trouble doing so, conduct large amounts of research, and even interpret visual data if you upload an image. The program will also save any prompts you enter just in case you need to refer back to them later.
Claude: This tool is an excellent option for analyzing large data sets and summarizing long documents. Claude is also great for programming as it can code interactive interfaces and even games. You can also use it to review your own code to pinpoint any issues that you might have missed.
AI grammar checkers
We have always used spell checking tools in writing programs which would check for basic spelling and grammar errors. Now with AI, we can easily get assistance with not only checking for mistakes, but also making our writing smoother and clearer. Let’s look at a few tools that can help with this:
Grammarly: This reliable program is a staple for grammar review and correction and now has implemented AI-powered features. Many have utilized it to review their writing and catch any mistakes, but now it has the ability to make suggestions on how to improve your tone and sentence structure. Grammarly is an excellent tool to help draft emails and documents, though not completely from scratch. Integrate it into platforms like Google Docs and Microsoft Word to help enhance your writing.
Wordtune: Use this program to help with rephrasing your sentences to improve clarity and style. If you are looking to reach a more formal tone in your writing, Wordtune can achieve it in seconds. This is also the case if you are hoping to have a more casual tone. This tool is highly beneficial when it comes to enhancing your document or email drafts and making informed suggestions on how to improve them.
AI email management
Someone in a professional setting on average will receive about 121 emails per day. Even outside of work, we are consistently receiving emails, some of which are more important than others and can easily get mixed up in the bunch. It can be difficult to keep up with responding to emails and remembering key parts of a back and forth conversation. With AI-powered email management tools, this process can be made much more efficient.
Shortwave: Email summarization, translation, and task management are key features of Shortwave and can be connected directly to your Gmail account. It has the ability to read through long email threads to provide you with important points so that you do not miss anything. It can also turn these points into tasks automatically and even set reminders which can be highly beneficial if you are one to receive many important emails.
Microsoft Copilot: This tool from Microsoft’s AI feature package for the 365 suite can perform the basics of email summarization and task management as well as a few unique features. It can help you draft responses and offer suggestions to improve the structure of your communication. With its summarization options, you can also jump to relevant emails in seconds to review only the ones that matter to the task at hand. This is in addition to automatic scheduling and reminders.
These AI-powered tools that we have compiled are just a few of all of the options that are out there with even more on the way. AI is significantly transforming the way we perform a variety of different tasks, and it can be a great benefit to explore these tools for yourself.
